Sunflower of Westchester ("Sunflower," "we," "us") is a 501(c)(3) nonprofit organization registered in New York State, with offices at 17 Clinton St, Valhalla, NY 10595. EIN 99-3159228. This Privacy Policy explains how we handle personal information collected through our website, counseling services, programs, donations, and volunteer activities.

2. Information we collect

We collect three categories of information: (a) information you provide voluntarily — such as your name, email, phone number, mailing address, and any details you share when contacting us, registering for a program, donating, or completing intake paperwork; (b) clinical and program records — created when you receive counseling or participate in our programs, kept in accordance with applicable New York State and federal law; and (c) limited technical information collected automatically by our website, such as device type, browser, approximate location derived from IP address, referring URL, and pages visited.

3. How we use information

We use the information we collect to deliver and improve our services, schedule appointments, process donations, send program updates and newsletters you have opted into, evaluate program outcomes, comply with legal and grant-reporting obligations, and protect the safety of our clients, staff, and volunteers. We never sell personal information.

4. Clinical confidentiality

Counseling and clinical records are held to a higher standard than general donor or visitor data. They are protected by New York Mental Hygiene Law and applicable federal privacy regulations. Clinical records are stored in a secure, access-restricted electronic health record system and are released only with your written authorization or where disclosure is required by law (for example, suspected child abuse, court orders, or imminent danger to self or others). Your therapist will review confidentiality and its limits with you at your first appointment.

5. Donor privacy

We do not sell, rent, trade, or share donor lists with other organizations. We will list donor names in annual reports or program materials only with your prior written permission. You may request anonymous giving at any time. Payment card information is processed by a PCI-DSS compliant third-party processor; we do not store full card numbers on our systems.

6. Cookies and analytics

Our website uses a small number of essential cookies for navigation and security, and a privacy-respecting analytics tool that records aggregate, anonymized usage data so we can understand how visitors use the site. We do not use third-party advertising trackers or social-media pixels. You may disable cookies in your browser without losing core site functionality.

7. Sharing with service providers

We share information only with carefully selected vendors who help us operate — such as our email platform, donation processor, electronic health record vendor, and accounting partners. Each is contractually required to safeguard data and use it only for the services they provide to us.

8. Children's privacy

We collect information from children under 13 only with verifiable parental or guardian consent, and only as needed to deliver youth programming. Parents may review, correct, or delete their child's information at any time by emailing contact@sunflowerofwestchester.online.

9. Your rights

You may request a copy of the personal information we hold about you, ask us to correct inaccuracies, or request deletion (subject to record-retention requirements that apply to clinical and financial records). To exercise any of these rights, write to contact@sunflowerofwestchester.online and allow us up to 30 days to respond.

10. Data retention and security

We retain personal information only as long as needed for the purpose collected or as required by law. Clinical records are retained for the period required under New York State regulation. We use industry-standard technical and organizational safeguards — including encryption in transit, access controls, staff training, and routine audits — to protect personal information.

11. Updates to this policy

We will post any material changes to this Privacy Policy on this page and update the "Last reviewed" date below. Significant changes affecting how we use existing data will also be communicated by email to people who have shared an email address with us.
